E-Services & My Page

iFACTS e-Services enable organizations to create efficient, secure, and user-friendly digital forms that simplify the management of everything from internal reports to external submissions. By replacing manual processes with structured digital workflows, you reduce administration, increase accessibility, and gain full traceability throughout the entire process.

The system supports a wide range of use cases, including:

  • Nonconformity Reporting – Capture and manage nonconformities from routines and standards, directly linked to follow-up actions.
  • Incident Reporting – Receive reports of accidents, near misses, or threats, and initiate actions directly within the system.
  • Damage Reporting – Allow employees or third parties to report damage to assets, vehicles, or individuals – with automatic linkage to claims processing and case management.
  • Insurance Registration – Simplify the collection of insurance information, documents, and classifications, for example in preparation for procurement or contract management.
  • Permit Applications, Feedback, and Other Matters – Digital forms can be used for a variety of other purposes, including submissions from external stakeholders or citizens.

Features and Benefits

  • Flexible Form Design
Create and customize e-services directly in iFACTS through an intuitive interface – no external development required.
  • Structured Workflows and Automation
Submitted forms can be automatically placed in the correct workflow, assigned to the right person or department, and trigger notifications or tasks in other parts of the system.
  • Access Control and Targeted Audience
Specify exactly who can view and use each e-service – both internally (roles, units) and externally (citizens, suppliers).
  • Full Traceability and Follow-Up
All activities are logged – from submission and case creation to action and possible archiving. This provides clarity and enables analysis and improvement.
  • Security First
All data traffic is encrypted, and e-services integrate directly with iFACTS access control and authentication solutions (e.g., BankID, Freja eID, Active Directory).
  • Mobile-Friendly and Accessible
Forms are accessible via computer, tablet, and mobile – ensuring quick and easy reporting regardless of the user’s location.
  • Seamless Integration with Other Modules
E-services can be connected to other parts of the system such as risk management, document management, incident handling, case management, and automation.

iFACTS e-Services make it easy to establish a unified and efficient approach for managing critical processes – with high security, user-friendliness, and complete control from start to finish.

Benefits

iFACTS e-services provide a secure and user-friendly way to digitalize event management within the organization—both internally and externally—without requiring the reporter to be a registered user of the system. Through structured web forms, events such as incident reporting, claims reporting, and nonconformity reporting can be submitted directly into the system.

The e-services are fully integrated with the iFACTS platform, which means that the submitted information is automatically linked to the correct object, process, or case. This ensures increased traceability, improved data quality, and shorter processing times.

For users, this means an easy-to-use and accessible tool for submitting information, while the organization benefits from a unified and secure process that meets documentation and compliance requirements.

Workflows

  • External/internal reporting via customizable e-service forms
  • All reported data is gathered in an inbox for easier handling
  • Support for communication between handlers and reporters
  • “My Page” provides reporters with a digital interface to track the status of registered events and ongoing communication
